To fill PDF form online, open the form in a browser tool that reads its fields, type your answers, and download the completed copy. The PDFNova Fill PDF Form tool reads the interactive fields in a fillable PDF and shows them in a panel, so you can complete an application, registration or order form without printing anything. The form is processed in your browser and is not uploaded to a server.
This works for forms that were built to be filled on screen. If yours is a scan or a flat document, there is a different route, covered further down.
Fillable or not: check your form first
PDF forms come in two kinds, and they need different tools.
| Fillable (interactive) form | Flat form | |
|---|---|---|
| How it was made | The creator added real form fields | Exported as a plain page, or scanned from paper |
| What you see | Boxes you can click and type in, tick boxes, drop-down lists | Lines and boxes that are only part of the picture |
| How to complete it | Fill the fields with a form filler | Add text on top with an editor |
| PDFNova tool | Fill PDF Form | PDF Editor |
The quickest test is to open the file in the form tool. If fields appear in the panel, the form is fillable. If nothing appears, it is flat, and you should follow our guide on how to fill a PDF form that is not fillable.
How to fill PDF form online in six steps
- Open the Fill PDF Form tool in your browser, on a phone, tablet or computer.
- Add your form. Choose the PDF from your device. If it is password-protected, enter the password when asked.
- Review the field panel. The tool reads the form’s interactive fields and lists them for you to fill.
- Enter your answers. Work from top to bottom so you do not skip anything.
- Decide whether to lock your answers. The lock (flatten) option makes your entries a permanent part of the page.
- Download the completed form. It saves directly to your device. Open it and read it through once.
Should you lock (flatten) the form?
Flattening turns the fields and your answers into ordinary page content. After that, the entries can no longer be changed by typing into the fields.
Lock the form when you are submitting a final version, when you do not want anyone to change your answers by accident, or when the recipient will print it. A flattened form also tends to display the same way in different PDF viewers.
Leave it unlocked when you plan to finish it later, when a colleague has to complete another section, or when the receiving organisation’s system needs to read the field data. If you are unsure, keep two copies: an unlocked working copy for yourself and a locked one to send.
Tips for accurate answers
Most rejected forms fail on small details, not big ones. A careful five minutes saves a week of delay.
- Read the instructions page first. Many forms state the date format, whether to use capital letters, and which sections to leave blank.
- Copy names exactly from your ID. Spelling and word order should match your passport or national ID card.
- Watch date formats. Day-month-year and month-day-year are easy to confuse. Follow the format the form shows.
- Do not leave required fields empty. If something does not apply, the instructions often say to write “N/A”.
- Check numbers twice. Phone numbers, ID numbers and account numbers are where typing mistakes hide.
- Keep long answers short. Text that is longer than the field may be cut off or shrink when printed.
What to do after the form is filled
Add your signature
Most forms end with a signature line. Once the fields are complete, open the file in Sign PDF, draw, type or upload your signature, place it on the line and add the date if needed. This is a simple electronic signature. Check that the organisation accepts it, as requirements differ.
Mark copies that are not final
If you are sending a form to a colleague or adviser for review before you submit it, mark it clearly so nobody mistakes it for the real submission. Our guide on how to add a watermark to a PDF shows the general method, and how to add a confidential or draft stamp to a PDF covers the wording and placement for those specific labels.
Check the upload requirements
Portals often set rules for file type, size and file name. Check the limit shown on the upload page before you submit, and keep a copy of exactly what you sent.
Troubleshooting
No fields show up
The form is flat. It may be a scan or a PDF saved without interactive fields. Use the PDF Editor to add text on top of the blanks instead.
Only some fields appear
Some forms mix real fields with plain printed lines. Fill what the panel shows, download the file, then add the remaining answers as text with the editor.
My text looks cut off
The answer is probably longer than the field allows. Shorten it, use standard abbreviations, or continue on an extra sheet if the form’s instructions allow that.
The form will not open
Check that the download finished and that the file is a PDF. If it asks for a password, you will need the one supplied by the sender.
Why filling on screen beats printing
Typed answers are easier to read than handwriting, so there is less chance of someone misreading your phone number or name. You can correct a mistake without starting again on a fresh printout. The page stays sharp because it is never photographed or scanned. And you can do it from a phone, which helps when the deadline is today and the nearest printer is not.
There is a privacy benefit too. Forms carry personal details such as ID numbers, addresses and dates of birth. PDFNova processes files in your browser, so your documents are not uploaded to a server.
Frequently asked questions
Can I fill out a PDF form on my phone?
Yes. The tool works in modern mobile browsers. Add the form, fill the fields in the panel and download the result to your phone.
How do I save a filled PDF form so it cannot be edited?
Use the lock (flatten) option before you download. Your answers become part of the page and the fields are no longer editable.
Is it free to fill a PDF form online?
PDFNova is free, needs no sign-up and adds no watermark to your completed form.
Why can I not type in my PDF form?
It is most likely a flat or scanned form with no interactive fields. You can still complete it by placing text over the blanks with an editor.
Have a form waiting? Open Fill PDF Form, type your answers, lock them if the copy is final, and download a clean completed form.
