How to Add Page Numbers to a PDF

To add page numbers to PDF documents, open the file in a numbering tool, choose a format and a corner, set the starting number and download the numbered copy. The PDFNova Page Numbers tool does this in your browser in a few taps. It is free, needs no sign-up, and the file is processed on your device instead of being uploaded.

Numbering looks like a small detail, but it changes how usable a document is. Readers can refer to an exact page, printed sheets can be put back in order, and a missing page is noticed straight away.

Documents that should always be numbered

  • Assignments, theses and reports. Many institutions require numbering, and a table of contents is useless without it.
  • Contracts and agreements. Numbers make it clear that no page was removed or added.
  • Application bundles. When several documents are combined into one file, numbering lets you write an index.
  • Manuals and handbooks. People jump around in them and need to find their place.
  • Anything that will be printed. Loose sheets get shuffled. Numbers fix that in seconds.

How to add page numbers to PDF files, step by step

  1. Open the Page Numbers tool on your phone, tablet or computer.
  2. Add your PDF from your device.
  3. Choose a format. You can use a plain number (“1”), a labelled number (“Page 1”) or a number with the total (“Page 1 of 12”).
  4. Choose a corner. Numbers can be placed in any corner of the page.
  5. Set the starting number. Leave it at 1, or enter a different number if this file continues from another.
  6. Adjust the size so the number is readable without drawing attention.
  7. Download the numbered PDF. It saves directly to your device.

Open the result and flip through a few pages, including the last one, to confirm that the numbers are where you expect and do not sit on top of any content.

Choosing the right number format

Format Looks like Use it for
Plain number 7 Books, essays, reports and long reading documents. Clean and unobtrusive.
Labelled Page 7 Forms, handouts and business documents where clarity matters more than style.
With total Page 7 of 12 Contracts, statements, official submissions and anything printed, so readers know the full length.

The third format deserves special attention for legal and financial paperwork. We explain when and why to use it in how to add “Page X of Y” numbering to a PDF.

Which corner works best

There is no universal rule, but there are sensible habits.

  • Bottom right is the most common choice for single-sided documents and suits almost everything.
  • Top right is often used for academic papers and manuscripts. Check your institution’s style guide.
  • Bottom left or top left can help when the right side is taken by a logo, a stamp or binding holes.

Look at your pages before you decide. If the document already has a footer with an address or a reference code in one corner, pick another corner so the number does not overlap it. If you were given formatting rules by a university, court or employer, follow those first.

Using a custom starting number

The start number option solves several everyday problems.

Continuing from another file

If chapter one ends on page 24 and chapter two is a separate PDF, set chapter two to start at 25. The two files will read as one continuous document.

Leaving the cover unnumbered

Many reports have a title page that should not carry a number. One simple way: separate the cover from the body, number only the body, then join the two again with Merge PDF. Start the body at 1 or 2, depending on whether your style guide counts the cover.

Numbering an annex or appendix

Annexes often continue the main document’s numbering. Enter the next number in sequence as the start value.

Get the page order right first

Numbers are stamped onto the pages in their current order. If you reorder, delete or insert pages afterwards, the numbers will no longer run in sequence. So finish the structure before you number.

  1. Combine all the parts into one file.
  2. Arrange, rotate and remove pages with Organize Pages until the order is final.
  3. Add the page numbers as the last step.

Keep an unnumbered copy of the final file. If something changes later, you can adjust the pages and number them again from a clean version, instead of ending up with two sets of numbers.

Troubleshooting

The number overlaps text or a footer

Choose a different corner, or reduce the size. Documents with very narrow margins leave little free space, so a small plain number works best.

The document already has numbers

Adding a second set creates confusion. If the existing numbers are wrong, go back to the source file where possible, switch off numbering there, export a new PDF and then number it.

Scanned pages are slightly different sizes

Numbers are placed relative to each page’s corner, so on mixed page sizes they may appear in slightly different spots when you scroll. This is normal. They will still be in the same corner of every page.

The numbers look too small when printed

Increase the size and download again. Print one test page before printing the full document.

Related finishing touches

Once the pages are numbered, a correct document title makes the file look complete when it opens in a browser tab or PDF viewer. See how to change the title and author of a PDF.

Yes. PDFNova numbers the PDF directly in the browser, so you do not need the original document or any installed program.

Can I add page numbers to a PDF on my phone?

Yes. The tool works in modern mobile browsers, and the numbered file downloads to your phone.

Will numbering change the content of my pages?

No. The tool adds a number in the corner you choose and leaves the rest of each page as it was.

When your pages are in their final order, open Page Numbers, pick a format and corner, and download a document that is easy to follow from first page to last.
