How to Compress a PDF for Email Attachments

If you are sending several documents to one person, such as a CV, two certificates and a reference letter, it is often better to send one attachment than four. Combine them first, then compress the combined file once. This way you choose a single compression level for the whole pack, and the receiver gets everything in the right order.

Compressing each file separately and then merging also works, but it is easy to end up with one page much blurrier than the rest. Troubleshooting: still too big to send

The file barely got smaller

It is probably text-based with few images. Remove pages the receiver does not need with Delete Pages, or send only the relevant section.

Strong compression makes it unreadable

Split the document into two or three parts with Split PDF, compress each part at a gentler level, and send them as separate emails or attachments. Name them clearly, for example report-part-1-of-2.pdf.

The scan is huge and grey

Rescan it with the Camera Scanner using the black-and-white or grayscale filter and tight cropping. A clean scan compresses far better than a shadowed photo of a page.

The email still bounces

The receiver’s server may have a lower limit than yours. Ask them what they can accept, or share the file through a cloud storage link from your usual account instead of attaching it.

  • Small text, numbers, stamps and signatures are readable when zoomed.
  • Page count and order are correct.
  • File name is clear, with no words like “final-final-2”.
