To scan receipts to PDF, open a camera scanner in your phone browser, photograph each receipt on a dark flat surface, let the tool crop and straighten it, then save all the pages as one PDF. The PDFNova Camera Scanner does this without an app or an account, and the pictures stay on your device. A few minutes each week is enough to keep your expense records in order.
Paper receipts are easy to lose and many are printed on thermal paper, which fades with heat, light and time. A clear PDF copy made on the day of purchase is usually easier to read later than the original slip. This routine works for employees claiming expenses, freelancers tracking costs and families keeping warranty records.
What you need before you start
- A phone, tablet or laptop with a camera and a modern browser.
- A plain, dark surface. A white receipt on a dark background is much easier for edge detection to find.
- Even light, such as daylight near a window. A lamp directly above the paper creates glare and shadows.
- Flat receipts. Unfold them and press out the curls.
How to scan receipts to PDF step by step
- Open the Camera Scanner page in your browser. When the browser asks for camera permission, allow it.
- Place the first receipt on the dark surface and hold the phone directly above it, parallel to the paper, so the whole slip is in view.
- Wait for the automatic edge detection to outline the receipt, then capture it.
- Check the corners. If the outline missed part of the receipt or included the table, drag the corner points to the real edges. Perspective correction then straightens the page.
- Choose a filter. Black and white gives sharp text and a small file for ordinary printed receipts. Use grayscale for faded slips and color when stamps or colored ink matter.
- Add the next receipt as a new page and repeat until the batch is finished.
- Save the pages as one PDF. The file downloads straight to your device.
Before you put the paper away, open the PDF and zoom in on the total, the date and the seller name. If you cannot read them on screen, nobody in accounts will be able to either, so rescan that page now.
Which filter suits which receipt
| Receipt type | Best filter | Why |
|---|---|---|
| Fresh printed till receipt | Black and white | High contrast text, smallest file |
| Faded thermal receipt | Grayscale | Keeps light grey print that black and white may erase |
| Invoice with a stamp or signature | Color | Shows ink color and official marks |
| Crumpled or creased slip | Grayscale | Creases turn into black lines in pure black and white |
Handling long and awkward receipts
Supermarket receipts can be much longer than a phone screen is tall. If you step back far enough to fit the whole slip, the text becomes too small to read. Scan it in two or three overlapping sections instead, top to bottom, and keep them as consecutive pages in the same PDF. Let each section repeat a line or two from the previous one so it is clear nothing is missing.
The same camera technique applies to other paper. If you also keep lecture or meeting pages, see our guide on how to scan handwritten notes to PDF, and for bound pages that will not lie flat, read how to scan book pages to PDF with a phone.
Organise receipt PDFs so you can find them later
A scan is only useful if you can find it again. Pick one naming pattern and keep to it. A pattern that sorts well is year, month, then a short description, for example 2024-03-fuel-and-travel.pdf. Files named this way line up in date order in any folder.
Most people do well with one PDF per month or one PDF per expense claim. If you scanned in several short sessions, combine the pieces with Merge PDF, where you can drag the files into order before joining them. If the final file is too large for an expense system or an email, reduce it with Compress PDF and check the preview so the small print is still readable. Check the limit shown on the upload page of whatever system you send it to.
Make receipt text searchable with OCR
A scanned receipt is a picture, so you cannot search it for a shop name or an amount. Run the file through OCR PDF and choose the language printed on the receipt. You can download a searchable PDF, copy the recognised text, or save it as a .txt file to paste into a spreadsheet. The language data downloads the first time you use a language, so the first run takes a little longer.
Be realistic about accuracy. Receipts use small fonts, narrow columns and faint ink, so OCR may misread a digit. Always compare amounts against the image before you enter them in your accounts.
Common problems and quick fixes
- The edges are not detected. The background is too similar to the paper. Move the receipt onto something darker, or adjust the corners by hand.
- Text looks blurry. Rest your elbows on the table, clean the camera lens and give the camera a moment to focus.
- A shiny patch hides the total. That is glare. Move away from the lamp, then rescan.
- The print is almost gone. Switch from black and white to grayscale and scan in brighter, even light.
- The camera does not open. Permission was blocked. Allow camera access for the page in your browser settings and reload.
Privacy and record keeping
Receipts often show part of a card number, a loyalty number, a phone number or a home address. PDFNova processes files in your browser, so your documents are not uploaded to a server. Our article on browser-based vs upload-based PDF tools explains what that difference means in practice.
How long you must keep receipts, and whether a scanned copy is accepted in place of the paper original, depends on your country, your tax office and your employer. This is general information, not tax or legal advice. Keep the paper originals until you are sure a digital copy is enough.
Frequently asked questions
Can I scan receipts to PDF without installing an app?
Yes. The Camera Scanner runs in the browser on a phone, tablet or laptop. You only need to allow camera access when the browser asks.
How do I put several receipts into one PDF?
Capture each receipt as a new page in the same scanning session and save once at the end. If you already have separate PDFs, join them with the merge tool.
Is a scanned receipt accepted for expense claims or tax?
Many organisations accept clear digital copies, but the rules differ between countries and employers. Confirm with the office that will receive the claim.
Why can I not search for text inside my receipt PDF?
Because a scan is an image of the paper. Run OCR on the file and download the searchable PDF version, then search will work in your PDF reader.
A weekly habit of five minutes is all it takes. Empty your wallet, open the Camera Scanner, capture the batch, name the file by month and your records are done.
