What is a PDF? PDF stands for Portable Document Format. It is a file type that stores a finished document, including its text, fonts, images and page layout, so that it looks the same on any phone, computer or printer. That reliability is why forms, invoices, CVs, tickets and textbooks are shared as PDFs, and why tools such as a PDF editor exist for the times you need to change one.
If you have ever sent a Word file that looked perfect on your laptop and broken on someone else’s phone, you already understand the problem the PDF was made to solve.
What is a PDF, in simple terms
Think of a PDF as digital paper. A Word document is like a draft that is still being written: the text flows, and the pages change when you change the font or the screen. A PDF is like the printed copy. Every line, picture and margin is fixed in place on a page of a set size.
The format was created by Adobe in the early 1990s and later became an open international standard. “Open” means any company can build software that reads and writes PDFs, which is why you can open one in a web browser, a phone’s file viewer or many free apps without buying anything.
What is inside a PDF file
A PDF can hold more than most people realise.
- Text that can be selected, searched and copied.
- Fonts, which are usually packed inside the file so the letters look right even on a device that does not have that font.
- Images, such as photos, logos and scanned pages.
- Vector graphics, such as lines, charts and shapes that stay sharp when you zoom.
- Interactive form fields that you can type into.
- Links and bookmarks for moving around long documents.
- Annotations, such as highlights and sticky notes.
- Document information, also called metadata: title, author, subject and keywords.
- Security settings, such as an open password and limits on printing or copying.
Not every PDF contains real text
This is the detail that confuses people most. A PDF exported from Word contains real text. A PDF made by scanning or photographing paper contains only pictures of pages. The two look similar, but you cannot search or copy from the second kind until text recognition has been run on it. We explain the tests in scanned PDF vs digital PDF: how to tell the difference.
Why PDF is used everywhere
| Reason | What it means for you |
|---|---|
| Same look on every device | Your CV keeps its layout on the recruiter’s phone |
| Prints as shown | Page breaks and margins do not move at the print shop |
| No special software needed | Browsers and phones open PDFs out of the box |
| Harder to change by accident | A reader cannot bump a paragraph and reflow the whole file |
| Can be locked | A password can control who opens it |
| One file for many pages | Text, scans and pictures can travel together |
| Widely accepted | Universities, banks, courts and job portals commonly ask for it |
The short version: PDF is the format for documents that are finished. Word is the format for documents that are still being written. Our comparison of PDF vs Word and when to use each format goes deeper into that choice.
The limits of the format
The same fixed layout that makes PDFs reliable also makes them awkward in a few situations.
- Editing is limited. Because text is placed at fixed positions, changing a sentence does not push the rest of the page along as it would in Word.
- Small screens. An A4 page on a phone needs zooming and scrolling.
- File size. Scans and photo-heavy PDFs can be large.
- Scans are not searchable until text recognition is applied.
Each has a practical fix. Large files can often be reduced with Compress PDF, which works mainly by lowering image resolution and quality, so image-heavy files shrink a lot and text-only files very little. If you need to rewrite large sections, PDF to Word converts the text of a text-based PDF to an editable document, though complex layouts will need tidying.
How to make small changes to a PDF
You do not need paid desktop software for everyday fixes. Here is how the PDFNova editor works for a typical correction or note.
- Open the PDF Editor page in your browser on a phone or computer.
- Add your PDF. If it has an open password, you will be asked for it.
- Pick a tool. You can add new text, cover an existing line and retype it, highlight, draw freehand, add shapes, insert an image or leave a sticky note.
- Place the item on the page and adjust it until it sits where you want.
- Download the edited PDF to your device.
This is right for fixing a typo, filling a line on a flat form or marking up a draft. It is not a full layout reflow editor, so for a complete rewrite, return to the original Word file if you have it.
Other common PDF jobs
Most daily tasks are about pages, not words. You can merge PDF files into one document, for example a cover letter, CV and certificates for a job application. You can also split, rotate, reorder and delete pages.
PDFNova processes files in your browser, so your documents are not uploaded to a server. The tools are free, need no sign-up and add no watermark. When you use other sites, it is worth knowing what to check before you upload to an online PDF tool.
Frequently asked questions
What does PDF stand for?
Portable Document Format. “Portable” means the document can move between devices and systems without changing how it looks.
How do I open a PDF file on my phone?
Tap the file. Modern phones open PDFs with a built-in viewer or the web browser, so you rarely need to install anything.
How do I create a PDF?
Office apps such as Word, Excel and PowerPoint have a Save as PDF or Export option. Most phones and computers can also print to PDF from the print screen. For photos and paper, an image to PDF tool or a camera scanner turns pictures into PDF pages.
Can a PDF be edited after it is saved?
Yes, within limits. You can add text, cover and retype lines, annotate, sign, and rearrange or remove pages. Rewriting whole paragraphs with automatic reflow is better done in the original document.
A PDF is simply a document frozen in its final form, which is exactly what you want when it has to look right for someone else. When a finished file needs a small fix, open the PDF Editor and make the change in your browser.
