How to save PowerPoint to PDF, step by step
The exact wording of the menus changes a little between versions, but the route is the same on Windows, Mac and the web version.
- Open your presentation and save your latest changes first.
- Open the File menu and look for Export, Save As or Download as PDF.
- Choose PDF as the file type.
- Open the options area in that dialog if you want something other than plain slides. This is where you choose notes pages, handouts or a range of slides.
- Pick a quality setting. Standard or print quality keeps images sharp. A smaller or online setting gives a lighter file.
- Save the file, then open the PDF and scroll through every page before you send it.
If your app has no export option, use Print and choose a “Save as PDF” or “Print to PDF” printer instead.
With notes, without notes, or as handouts

Saving without notes
The plain slides layout does not include speaker notes. That is the safe choice when your notes contain reminders or prices that are only meant for you. Still, check the options for a setting about hidden slides and comments, and switch those off if you do not want them in the PDF.
Saving with notes
Choose the notes pages layout in the export options, or in the print dialog if your version puts the layout choice there. Each PDF page will be in portrait, with the slide on top and the notes underneath. Long notes may get cut off, so read through the result and shorten any note that does not fit.
Saving a presentation as PDF on a phone
The mobile PowerPoint app and other slide apps normally offer an export, share or print option that creates a PDF. Phone versions usually give you fewer layout choices than the desktop app, so if you need notes in the file, do the export on a computer.

Reduce the size
Open the Compress PDF tool, add your file and move the slider to choose a compression level. You can compare the size before and after and look at the preview. Slide decks are usually image-heavy, so they often shrink a lot. A deck that is mostly text on a plain background will shrink very little.
Add page numbers
If your slides have no slide numbers, add them to the PDF with Page Numbers. You can choose a format such as “1”, “Page 1” or “Page 1 of 12”, put it in any corner, and set the size and starting number. Common problems and how to fix them
- Fonts look different in the PDF. The export replaced a font it could not embed. Use a common font, or turn on font embedding if the app offers it, then export again.

- Slides have white borders. The slide shape does not match the paper size in the print dialog. Use Export rather than Print, so the page takes the shape of the slide.
- Links stopped working. Printing to PDF often flattens links. The Export or Save As route normally keeps them.
- The file is too large to send. Compress it, and check the limit shown on the upload page or in your email service before you try again.
