To add notes to PDF documents, open the file in the PDFNova PDF Editor, place a sticky note or type text where your comment belongs, and download the new copy. It takes a minute, works on a phone or computer, and the file stays on your device because it is processed in the browser.
Notes are how people work together on a document that should not be rewritten: a contract draft, a student essay, a quotation, a design proof. This guide shows the three ways to comment, when to use each one, and how to write feedback that the other person can act on.
Three ways to comment on a PDF
Sticky notes
A sticky note is a small marker that you pin to a spot on the page. It is ideal for questions and suggestions that relate to one sentence or figure, because it points at the place without covering much of the content.
Typed text on the page
The text tool writes directly onto the page. Use it when the comment must be visible at a glance, or when the document may be printed. Margins and empty space at the end of a section are the best places for it.
Highlight plus a note
Highlight the exact words you are talking about, then put a note beside them. The highlight answers “where” and the note answers “what”. This pair is the clearest form of feedback for long documents.
| Need | Best option |
|---|---|
| Ask a question about one line | Sticky note |
| Feedback that must show on a printout | Typed text in the margin |
| Point to exact wording that should change | Highlight plus note |
| Overall verdict on the document | Typed text on the first page |
| Point at part of an image or chart | A shape or drawn circle with a note |
How to add notes to PDF pages, step by step
- Open the PDF Editor in your browser.
- Select your PDF. Password-protected files ask for their password when they open.
- Go to the page you want to comment on.
- Choose the sticky note tool and click or tap the spot your comment refers to. Type your note.
- For comments that should be printed on the page, choose the text tool, click an empty area such as the margin and type there.
- Use the highlighter to mark the words each comment is about.
- Repeat on the other pages, then save and download the commented PDF.
If you only need the typing part, the guide on how to add text to a PDF covers positioning and sizing in more depth.
Writing comments people can act on
A note such as “fix this” creates more work, because the reader has to guess what you mean. Good comments are specific and short.
- Say what and why. “Change delivery date to the 15th, the client confirmed it by phone” is better than “wrong date”.
- One issue per note. Several small notes are easier to tick off than one long paragraph.
- Suggest the replacement. If you want different wording, write the wording.
- Add your initials. When several people review the same file, start each note with your initials so everyone knows who said what.
- Separate must-fix from nice-to-have. A simple label such as “Required” or “Optional” at the start of the note saves arguments later.
- Stay polite. Written comments sound harsher than spoken ones. A calm tone gets faster results.
When there is no room to write
Some documents have narrow margins and full pages. You have two good options.
First, use sticky notes, since they take almost no space on the page. Second, add a dedicated notes page. Open the file in Organize Pages, insert a blank page after the section you are reviewing, save, and then type your comments on that blank page in the editor. This works well for summary feedback at the end of a report or essay.
Before you share: check how the notes will appear
A PDF is designed to look the same on every device, which is why it is the standard for sharing finished documents. Our explainer on what a PDF is and why it is used everywhere covers the background. Annotation markers, however, can be displayed a little differently from one viewer app to another.
To avoid surprises, run through this checklist:
- Open the downloaded copy in the PDF reader you normally use and confirm every note is there.
- If a comment is essential, put it on the page as typed text so it cannot be missed.
- If the receiver will print the file, rely on typed text and highlights.
- Remove private remarks that were only meant for you.
- Rename the file so it is clear this is the reviewed version, for example by adding “comments” and your initials.
- Keep the clean original in case a version without notes is needed.
Notes are not edits
Comments suggest changes. They do not make them. If you are the owner of the document and you want to actually change it, you can cover and retype a line, add new text or insert an image. See how to edit a PDF for free in your browser for that workflow.
Keep in mind that the editor is not a full layout tool. For large rewrites, go back to the source file in your word processor, apply the feedback there and export a fresh PDF.
Good uses for PDF notes
- Reviewing a contract or offer letter: mark clauses you want explained before you sign.
- Giving feedback on an assignment or thesis draft: highlight the sentence, note the improvement.
- Checking a quotation or invoice: flag items that do not match what was agreed.
- Studying: pin questions to the page and answer them after class. Our method for annotating PDFs for studying builds on this.
- Approving a design: pin a note on each element that needs a change.
Frequently asked questions
How do I add comments to a PDF for free?
Open the PDFNova PDF Editor, load your file, and use the sticky note, text and highlight tools. Download the result. There is no sign-up and no watermark.
Can I add notes to a PDF on my phone?
Yes. The editor works in modern mobile browsers. Zoom in before placing a note so it lands on the right line, and type short comments.
Will my notes show when the PDF is printed?
Typed text and highlights are part of the page, so they are the safe choice for printing. How sticky note markers print depends on the viewer and print settings, so put anything essential on the page as text.
Can I add notes to a scanned PDF?
Yes. Sticky notes, typed text and drawings sit on top of the page, so they work on scans as well as on text-based files.
Clear comments shorten every review cycle. Open the PDF Editor, pin your notes where they belong, and send feedback that is easy to follow.
