How to Merge Scanned Documents Into One PDF

How to merge scanned documents into one PDF

  1. Open Merge PDF in your browser on a phone, tablet or computer.
  2. Add two or more scanned PDFs. You can add them all at once.
  3. Put the files in order. Drag each one into position, or use the A to Z sort if you named the files in sequence.
  4. Check the list from top to bottom. The top file becomes the first pages of the result.

Cleaning up after the merge

Fix sideways and upside-down pages

Scans from a flatbed or a hurried phone photo often come out rotated. Open the merged file in Organize Pages to rotate single pages, drag pages into a new order and delete empty backs from double-sided scanning. Save, and the changes are permanent in the new file.

Reduce the file size

Scanned PDFs are heavy because every page is an image. A bundle of twenty pages can easily be too large for an online form. Run the merged file through Compress PDF, move the slider, compare the before and after size, and look at the preview to make sure small text is still readable. Image-heavy files like scans usually shrink a lot.

Do not state a target from memory. Check the limit shown on the upload page of the portal or service you are sending to, then compress to fit under it.

Make it searchable if needed

A merged scan is still a set of pictures, so you cannot search or copy text from it. If that matters, OCR can recognise the text and produce a searchable PDF. Accuracy depends on scan quality, so clear, straight, well-lit pages give the best results.

Troubleshooting scanned merges

Pages are different sizes

This is normal when scans come from different devices. A flatbed produces exact A4 pages, while a phone photo keeps the shape of the picture. The merged file still opens and prints correctly. For printing, choose the fit-to-page option in your print dialog.

One file refuses to open

If a scanned PDF has a password, the tool asks for it when the file is added. You need to know the password. If a file is damaged, scan that document again, since a broken scan cannot be repaired by merging.

The order is wrong after merging

You do not have to start again. Open the merged PDF in the page organizer and drag the pages where they belong.

The merged file is too large for my phone to handle

The default maximum file size is 100 MB. If your scans are very large, compress each file first, or scan in grayscale or black and white to keep sizes down from the start.
